What you can do

Search and filter your contacts by any field, and save the combination as a view.

Learn to search for a contact, filter by any attribute or status, combine filters and adjust them from the table, and save what you filter as a personal view, in 11 steps.

  • Search by name, mobile or city
  • Filter by any field
  • Combine values and fields
  • Save the view

Steps

  1. Step 1 of 11

    Search for a contact

The search finds a contact as you type.

Search contacts, at the top left of the table, finds contacts as you type: it searches the name, mobile, email, company and city, even when those columns are hidden, and ignores accents and capital letters. With administration permissions it also searches by the contact’s advisor. The search works within the active view and filters, and it does not change the counts of the cards or the views, which follow only the filters. If no contact matches, the table says No contacts match these filters.

    • Name, mobile, email, company or city
    • Regardless of accents or capitals
    • Within the view and filters

  2. Step 2 of 11

    Open Filter

Filter gathers every field of the contact, grouped.

Filter, next to the search, opens Filter by with every field you can filter by, whether it is shown as a column or not. They are grouped: first Contact attributes, the fields your company created in the console, in their order, for example Company, City, Segment, Interests and Orders; then Status (Connection status, Chat status, Contactability and Attempts), Activity (Last activity, Channel and Responsiveness) and Bridge fields (Language, Email and Line, plus Assigned to with administration permissions). Search fields finds a field by its name. A field with an active filter shows how many values it has chosen.

    • Contact attributes first
    • Then Status, Activity and Bridge fields
    • Search fields by name

  3. Step 3 of 11

    Choose the values

Each value shows how many contacts have it.

Choose a field to see its values. Each value shows how many contacts have it, and No value gathers the contacts that have none. Tick the ones you want, for example Medellín and Cali in City, and choose Apply; Clear unticks the values and All fields goes back to the list. A list attribute, such as City or Segment, shows its options. A multiple choice attribute, such as Interests, does too: a contact appears if it has any of the options you ticked. Status fields bring their own values, for example Open, Never connected and Never contacted, and Last activity brings Today, Last 7 days, Last 30 days, Over 30 days ago and No activity.

    • Each value with its count
    • No value: those without one
    • Tick, then Apply

  4. Step 4 of 11

    Filter by a text

A text is filtered by what it contains.

A text attribute, such as Company, also has Contains: type part of the text and the filter finds the contacts whose value includes it, regardless of accents or capital letters. Below are the values your contacts already have, each with its count, to tick them one by one, and No value. The filter reads, for example, Company: Contains "Norte".

    • Contains: part of the text
    • Or tick the values
    • Regardless of accents

  5. Step 5 of 11

    Filter by a range

A number is filtered by a range.

A number attribute, such as Orders, is filtered by a range: From and To, and you can leave either one empty. With both you see, for example, Orders: 10 to 25; with From only, 10 or more; and with To only, Up to 25. No value gathers the contacts without the value. Attempts, under Status, is also filtered by a range.

    • From and To
    • Either can stay empty
    • Also in Attempts

  6. Step 6 of 11

    Combine values and fields

Filters add values and cross fields.

You can choose several values in one field and filter by several fields at once. Several values in the same field add contacts: City Medellín or Cali shows the contacts of both cities. Several fields apply together: City and Segment shows only the contacts that meet both. When you apply a filter, the table filters, goes back to the top and the selection clears.

    • Several values: one or the other
    • Several fields: all at once
    • The selection clears

  7. Step 7 of 11

    Adjust the chips

Each active filter becomes a chip.

Each active filter becomes a chip next to Filter, with the field and its first value, plus +N when there are more, for example City: Medellín +1; resting the pointer on it shows the whole list. Filter shows how many filters are on. Click the chip’s text to open its values right there and change them. The × removes that filter, and a filter left with no values is removed too. Clear filters, after the chips, removes them all.

    • Click the text: change
    • ×: remove
    • Clear filters: all

  8. Step 8 of 11

    Filter from a column

Each column has its own filter in its header.

You can also filter from the table. Resting the pointer on a column header shows its filter, the filter icon after the sort arrows. It opens the same values as Filter for that field, with Clear and Apply, and writes the same filter: the chip appears and the counts update. With an active filter, the icon stays blue with its number, always in the same place, and clicking it never sorts the column. Contact and Mobile filter by text, with Contains, only from their header; the search also works for them.

    • Shows when you point at it
    • Same filter, same chip
    • Never sorts

  9. Step 9 of 11

    Check the counts

The cards and views count with your filters.

Filters also change the cards and the views. All contacts then counts only the contacts that meet the filters, and each card shows how many of them are in its view and their share of that total. Saved views counts the same way. Choosing a card or a default view keeps your filters, so you can see, for example, only the never contacted contacts in Medellín and Cali. The search does not change these counts.

    • All contacts: the filtered ones
    • Shares of that total
    • The search does not count

Watch step 9 on the screen

  10. Step 10 of 11

    Save the view

A view keeps your filters for next time.

To use the same filters again, open Saved views and choose Save current view; without filters it is disabled, with the note Add a filter first. In Save current view, type the View name, which is required, check below what will be saved (the default view, if it is not All contacts, and the filters) and choose Save. Bridge confirms with View saved. The view joins your personal views in Saved views, with its count, and only you see it. Choosing it applies its filters and its view, and the button takes its name.

    • Needs at least one filter
    • Type the name, then Save
    • Only you see it

  11. Step 11 of 11

    Select and go on

The selection starts from what you filtered.

Every time you change a filter, the view or the search, the table goes back to the top and the selection clears, so you never act on contacts you no longer see. With the view ready, tick the contacts, or choose Select all N, where N is the number of contacts in the view, to take them all even if they are not loaded. Then you can send them a message, export them or, with administration permissions, assign them. Next: Send a message to several contacts.

    • Changing filters clears the selection
    • Select all N: the whole view
    • Then, Send message
